What is e-Signature

e-Signature is now integrated into our Contracts Hub, allowing buyers to ask suppliers to sign contracts online. This feature eliminates the hassle of printing, scanning, manually signing, and re-uploading documents.

How does e-Signature work

In the Contract tab, when creating a New Contract or a Contract Template, you can upload your contract document to share with your supplier. This will form the basis of an exchange where both parties agree on the terms and upload countersigned versions of the contract. Alternatively, buyers can request that the contract be signed using an e-Signature.

To add your contract document with e-Signature:

  1. Click on the Edit button

  2. Click on the + Add button

  3. Select Browse and locate the file you want to upload. This must be a .pdf file and click save.

    1. The ‘Description’ field will auto-populate the name of your file, but you can edit should you wish.

  4. e-Signature by default is already enabled.

  5. Decide if you want to approve the contract before sending it for internal counter-signature. If yes, toggle Require approval on.

  6. Select the Signers you want on the contract. You can select any users within your company to be additional contract signers.

  7. Click Save.

  8. Fill in the remaining contract tabs and click Send contract.

Once all pages have been approved and signed by your supplier, you will have the option to countersign the document.

  1. Click on the contract document to open the exchange window

  2. Click the Approve & e-sign button, this will take you to Verified to approve and sign the document.

When you click continue once signing the document you will be redirected back to DeepStream and into the previous exchange window and the status will change to Signed with a green tick.

You will now be able to download the completed and signed document from the right-hand side of the exchange window.

Looking at the downloaded contract in PDF, once you scroll down you will see all verified information including the electronic signatures, the names of who’s signed and the time & date. All verifying the legal validation of your new contract with your supplier.
