Building a Request with Lots
When drafting a Request, in its Summary tab's Lots and Award scenarios section you need to define how you want to structure and award your procurement.
The Lots feature allows you to divide your Request into smaller, more manageable segments. This is especially useful when dealing with multiple product categories, service types, or geographic locations.
By organising your requirements into lots, you make it easier to evaluate bids and award contracts efficiently. It also increases flexibility for suppliers, as they can choose to bid only on the lots that are most relevant to them - encouraging more targeted competition.
Enabling Lots
In the Draft Request's Summary tab's Lots and Awards section, click 'Edit'.
Click on the toggle to switch from Disabled to Enabled.
Once enabled, enter the name of your Lot and write a description for it.
To add additional Lots, click the '+ Add lot' button.
To 'Move up', 'Move down' or 'Delete' a Lot, click on the '...' next to the Lot line.
✏️ Important to note: When Lots are enabled, the only available award scenarios are 'Lot-level award' and 'No award'.
Configuring sections with Lots
If you choose to enable Lots for your Request, only the sections configured in the specific pages of the Request’s Details tab will be affected. No other parts of the Request are impacted - everything else follows the standard setup process as described in the Building and Sending a Request article.
When creating a Request with Lots, each section you add - Documents, Line items, Questions, or Vessel pricing - will include Lot configuration options in its Section configuration settings. You will be prompted to either assign the section to a specific Lot or designate it as a general requirement not tied to any Lot.
No lot - General requirement: The section will be required for all suppliers bidding on the request
Specific lot: The section will be required for suppliers bidding on this lot only
