The Line items section, as introduced in the Building and Sending a Request article, is primarily used to request pricing or gather details such as lead times for specific goods or services. It allows you to fully configure both columns and rows according to your specific requirements.
This article provides an overview of the available column configuration options and how to use them effectively.
Adding a new field (column) to a Line items grid
Once you have set up your Line items section based on the instructions in this article, you will have two options to add a new field (column) to your line items grid:
Predefined fields: Select from a list of built-in fields with preset logic.
Custom fields: Create your own fields based on your use case.
Predefined fields
How to add a new Predefined field
When editing the Line items section, click the 'Add field' button.
Choose from the list of predefined fields your preferred field type.
Predefined field options
Target price per unit | Used to indicate a target price for each product or service line. | Buyer-provided field |
Delivery date | Used to specify the expected delivery date. | Either Buyer-provided field, |
Lead time | Used to specify lead time in numeric values only. | Supplier-provided field |
Product & Service tag | Used to categorise product or services using UNSPSC codes. | Buyer-provided field |
Manufacturer | Used to specify the name of the manufacturer for the item. | Either Buyer-provided field, or Supplier-provided field |
Part number | Used to define the part number of the requested item. | Either Buyer-provided field, or Supplier-provided field |
Custom fields
If predefined options don’t meet your needs, you can create custom fields.
How to add a new Custom field
When editing the Line items section, click the 'Add field' button and scroll down to the Custom fields section.
Choose your preferred field type.
Enter the field name.
Define whether your chosen field should be Buyer-provided, Supplier-provided or both.
Custom field options
Date – Accepts only date input.
Text – Free text entry.
Price – Accepts price values, shown in the currency set by the buyer or chosen by the supplier.
Number – Accepts only numeric input.
Formula – Allows you to create custom formulas at the line-item level.
To configure the Formula field, use operators such as +, -, *, /, and ().
To include numeric or price fields, wrap the field name in curly brackets:
Example: {Quantity} * {Unit Price}
Buyer-provided and Supplier-provided fields: Explained
When adding a new predefined Delivery date field or a custom field, you must specify who can or must input the data:
Buyer-provided field: Only you (the buyer) can fill in the field.
Supplier-provided field: Only the supplier can respond.
Buyer & Supplier-provided: The system will create two columns - one for the buyer’s input and one for the supplier’s response.
Supplier response options:
When you chose a field to be provided by both the Buyer and the Supplier, you need to choose one of the following response modes for the supplier:
Free response – Suppliers can enter any valid value based on the field type.
Accept or reject – Suppliers can only accept or reject the buyer’s input.
