Revising an existing Questionnaire
Questionnaire revisions enable you to update the Questionnaire name, Questionnaire description and Purpose overview fields, as well as to set new Expiration & renewal configurations and modify the position of the questions added to your questionnaires.
✏️ Important to note: Any updates to the questionnaire name or description will be published immediately for all sent versions of this questionnaire. This will not impact any statuses or create a new version.
To revise a questionnaire:
Click on the Pre-qualification module.
Go to the Questionnaires tab.
Click on the Questionnaire you wish to edit.
On the top right corner click on the ‘Questionnaire actions’ dropdown button.
Select ‘Revise questionnaire’.
By switching between the Summary and Questions tabs, then clicking on the ‘Edit’ buttons shown for each section, you can easily make the necessary changes to your questionnaire.
Managing question changes
It is possible to make the following changes to your questions saved in the Questions library.
Add a question
Remove a question
Create a question in Draft questionnaires
Re-order the included questions
However, all changes to Pre-qualification questions must be made in the Pre-qualification module’s Questions library.
✏️ Important to note: If you wish to change a question within the Questionnaire then you have the option to delete the question and add or create a new one.
On the Pre-qualification module's Questions tab find the question you wish to edit.
Click on the ‘…’ button next to each question, then select ‘Edit question.’
Make changes to the question, modify its type or the related category, then click on ‘Update’.
As the pop-up window will alert, updating a question will create draft changes in all the questionnaires it appears in.
✏️ Important to note: Changes will automatically apply to all questionnaires that are currently in Draft status and to any New questionnaires created after the changes are made. By default, changes do not affect questionnaires that are already Active. That is, Suppliers participating in an Active questionnaire will continue to see the original version of the questions. This includes any new Suppliers invited to that active questionnaire.
Publishing a Questionnaire revision
After making all the necessary changes in a Pre-qualification Questionnaire, it's time to review and publish it.
Click on the ‘Publish’ button in the bottom right corner.
A pop-up window will appear asking you if you would like to ‘Update sent questionnaires?’. At this point, you have two options: ‘No - don’t update’ or ‘Yes - update all questionnaires’.
Option 1: Publish, No - don’t update
This will generate a new version of the questionnaire, resulting in the previous one becoming inaccessible.
No changes will be made to any Suppliers or their current responses.
Option 2: Publish, Yes - update all sent questionnairesRejected or Declined questionnaires will not be updated.
Choosing this option will also create a new version of the questionnaire.
Any Suppliers who have received a previous version of the questionnaire will have their sent questionnaire updated.
Suppliers will be required to resubmit answers only for questions that were changed. Responses to unchanged questions will be retained and require no action.
Once you’ve selected to update or not update the changes, click ‘Publish changes’. The status of your questionnaire will revert back to Active.
Further questionnaire actions
As a Buyer, you can download a Pre-qualification questionnaire Overview, Supplier responses and Suppliers’ audit trail either in bulk or individually.
On the Pre-qualification module’s Questionnaire tab click on the questionnaire you want information about.
In the right hand corner click the ‘Questionnaire actions’ drop down menu.
Select the desired report.
