Sending a new Questionnaire

Learn how to send published Questionnaires to Suppliers, invite team members to it, manage recipients, and set up automatic reminders.

Once Published, you have successfully created your Pre-qualification questionnaire, and are now ready to send your Questionnaire to Suppliers.

Sending a new Questionnaire

  1. In the Pre-qualification module’s Questionnaire tab, select the Active category on the left.

  2. Click the ‘Send questionnaires’ button on the right.

  3. In the Questionnaires section, click ‘Edit’ and select the Questionnaire you wish to send.

    • You can select multiple questionnaires to send at the same time by checking multiple boxes.

    • If you selected the wrong questionnaire and wish to remove it, simply click the ‘...’ button and click ‘Remove questionnaire’.

  4. In the Team members section, select and invite any of your own team members to this questionnaire by clicking the ‘Add user’ button. You can include as many members as you want.

    • All DeepStream users can access Pre-qualification questionnaires in a read only view.

  5. In the Suppliers section, there are two ways for you to add the Suppliers who you wish to send the questionnaire to. Either type the name of the Supplier to select it from the Network repository, or invite them directly from the Questionnaire by clicking on ‘Send an invite’. This will add them to a list below. Repeat this process for as many Suppliers as you wish to send the questionnaire to.

    • You can select which users within the Supplier company you wish to send the questionnaire to, by clicking on the ‘Edit’ button next to the company, selecting the desired users and clicking Save.

  6. When you’re ready click the ‘Send Questionnaire’ button. A review window will pop-up, review the information, and click the ‘Send’ button.

Automatic reminders

Automatic reminders will be sent to Suppliers when they have an outstanding action that they need to complete. A reminder will be sent to the Supplier every five days until the task is complete.

Outstanding actions include:

  • No response (accept/decline) to a sent questionnaire.

  • A questionnaire is incomplete with no recent actions taken against it.

  • A complete but un-submitted questionnaire.
